Job Summary
As an Administration Supervisor, you will play a crucial role in supporting both administrative and operational staff. Your primary responsibilities will include managing vehicle scheduling, organizing data, and generating reports to ensure smooth operations. Daily interaction with customers will be an essential part of your role, requiring you to work independently and efficiently without constant oversight.
Minimum Requirements

- Technical Skills: Advanced knowledge of Microsoft Excel is required, as it will be a key tool in your daily tasks.
- Experience: A minimum of 2 to 4 years of operational or administrative experience is necessary.

Key Responsibilities
As the Administration Supervisor, your day-to-day tasks will involve:
SoloPlan Software Management: Set up and maintain the SoloPlan software to manage multiple transport tasks, including:
- Inbound Cane Transport: Overseeing 200 trips daily.
- Packed Transport: Coordinating 12 trips and 12 return trips each day.
- Bulk Sugar Transport: Managing 24 trips daily.
Data Accuracy: Ensure all data is accurately recorded to facilitate efficient decision-making and reporting.
Invoicing: Generate and send out weekly invoices based on tonnage information sourced from the SoloPlan system.
Fuel Transaction Management: Download fuel transactions from Micro Alert, consolidate them into an Excel file, and address any discrepancies related to odometer readings or fuel quantities.
Stock Reconciliation: Update and approve the daily diesel stock reconciliation process to maintain accurate inventory levels.
Management Reporting: Prepare Calculation Sheet 9 for management reports to support strategic decision-making.
Fuel Usage Analysis: Investigate instances of high fuel usage, assist in corrective actions, and streamline fuel management processes.
Vehicle Management: Issue Micro Alert barcodes, add new vehicles to the MA system, and report any broken equipment to Total Energies.
Ordering and Coordination: Plan daily diesel orders and coordinate purchases with Unitrans, ensuring orders are entered correctly on the Total Energies website and tracking sales order numbers.
Quality Checks: Ensure dips are taken before and after each delivery and verify them against delivery notes to maintain operational integrity.
